# A practical explanation of how Safivo handles data.

This notice covers the Safivo website, walkthroughs, accounts, and document workflows. A signed order form or data-processing agreement may add more specific commitments.

## Information we collect

We collect information you choose to provide when you contact us, book a walkthrough, create an account, or configure a workflow. This can include business contact details, scheduling details, account information, documents, extracted fields, exception decisions, and workflow run records.

We also receive limited technical information needed to operate and protect the service, such as request metadata, device and browser information, authentication events, error records, and permitted campaign attribution.

-   The website keeps only standard UTM fields and opaque Safivo sequence or account IDs for campaign attribution.
-   Free-form account names, email addresses, and arbitrary query parameters are not forwarded into the booking event boundary.
-   Connected systems provide data only after a customer authorizes the relevant connection and permissions.

## How we use information

We use information to provide and secure Safivo, respond to requests, schedule walkthroughs, configure and run customer workflows, surface exceptions, maintain run history, troubleshoot failures, and meet contractual or legal obligations.

Safivo does not sell personal information. Safivo does not use customer workflow content to train shared AI models unless the customer expressly agrees in writing.

## Service providers and connected systems

Safivo uses infrastructure, scheduling, authentication, communication, connected-app, and AI service providers to perform specific parts of the service. Customer-directed workflows can also read from or write to systems the customer selects.

We share only what is needed for that function, under the relevant provider terms and our customer agreements. A deployment-specific provider and data-flow review is available during enterprise evaluation; it should be treated as the authoritative list for that deployment.

## Retention and deletion

Retention depends on the type of data, the workflow, operational and security needs, and the customer agreement. We document material retention requirements before a production workflow goes live instead of publishing one period that would be inaccurate for every system.

When information is no longer needed, we delete or de-identify it where reasonably practicable, subject to contractual, backup, fraud-prevention, security, and legal requirements. Customers can request deletion or export through their Safivo contact.

## International processing and regions

Safivo and its providers may process information in more than one country. Workflow infrastructure can be scoped to an agreed cloud region during implementation, but Safivo does not make a blanket data-residency promise for every supporting service.

If residency or transfer terms are required, they must be documented in the signed order form or data-processing agreement before production use.

## Choices and privacy rights

Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a copy of personal information. Contact hello@safivo.com to make a request. We may need to verify identity and authority before acting.

For customer workflow data, Safivo generally acts on the customer's instructions. People whose information appears in that data should usually contact the customer first; we will assist the customer as required by the applicable agreement.

## Website measurement and scheduling

Safivo does not currently install a third-party marketing analytics vendor on this site. The site exposes a provider-neutral event boundary for page, CTA, calendar, and booking events so an approved measurement provider can be connected later.

The embedded scheduler is provided by Cal.com and may process information under its own terms when it loads or when you book. You can open the scheduler directly if the embed is blocked.

## Security and updates

We use technical and organizational safeguards designed for the service, including scoped access, workspace-specific workflow infrastructure, managed credentials, browser security headers, and traceable workflow runs. No system can be guaranteed completely secure.

We may update this notice as Safivo changes. Material changes will be reflected by a new effective date. Questions or requests can be sent to hello@safivo.com.
